What a Bali hotel or villa should look for in a channel manager

A channel manager keeps your availability and prices the same on every booking site. In Bali, where most small properties sell on four or five OTAs at once, the details decide whether it saves you work or creates new problems.

What a Bali hotel or villa should look for in a channel manager

Why it matters more in Bali than elsewhere

A typical Bali property with eight to twenty rooms sells through Booking.com, Agoda, Airbnb, Traveloka and Expedia, often next to direct bookings by WhatsApp. Every booking on one channel has to close that night on all the others. Done by hand, this works until the first busy week, and then two guests arrive for the same room.

Guests also book late and from many time zones. A booking can come in at 3 a.m. Bali time while you sleep. The channel manager is the only thing awake to update the other channels, so how quickly and reliably it does that is the first thing to check.

The checklist

  • The channels you actually use. Ask for a direct, two-way connection to Booking.com, Agoda, Airbnb, Traveloka and Expedia. Traveloka matters for domestic Indonesian guests, and not every system connects to it.
  • Two-way sync. Availability and prices should go out to the OTAs, and new bookings, changes and cancellations should come back in automatically. One-way systems leave you retyping reservations.
  • Overbooking protection. Even with good sync, two bookings can land within seconds. The system should flag a conflict immediately instead of letting you find it at check-in.
  • Room types mapped properly. If your Deluxe Pool Villa on Agoda is linked to the wrong room on your side, the sync is worthless. Check that mapping is clear and that you can see it.
  • Prices in rupiah. Your costs are in IDR, and so is your accountant. Prices, invoices and reports should work in rupiah, not only in dollars or euros.
  • Local closures. Nyepi, the Balinese Day of Silence, closes the island. You should be able to block that night once and have it closed on every channel.
  • A booking page of your own. A channel manager that also gives you a commission-free booking page helps you move repeat guests away from OTAs over time.

Calendar and daily use

Most of your time will be spent in the calendar, not in settings. Look for one calendar that shows every room and every channel, where you can drag a booking to another room when a guest asks to move. For small properties, the ability to shift bookings between rooms of the same type to close awkward one-night gaps is worth real money.

Ask also who on your team will use it. Front desk staff need to check guests in, see cleaning status and print an invoice without training for a week. If the system is only usable by the owner, it will not be used properly.

Pricing and contract terms

Look at how the price grows with your property. Some systems charge per room, per channel or per booking, which becomes expensive as you add villas. A flat monthly fee with a clear room allowance is easier to plan. Also check whether you can leave without a long contract, and whether you can test the system before you connect your real OTA accounts.

Sojodesk, for example, starts from $19 per month with 20 rooms included and offers a free 24-hour test hotel, so you can click through a filled calendar before you commit. Whatever you choose, test with fake bookings first and only then connect live channels.

Questions owners ask

Do I still need a channel manager if I only use Airbnb and Booking.com?

With two channels you can sync by hand or with calendar links, but calendar links can lag behind by hours. Once you have more than a few units or add a third channel, a proper two-way connection is much safer.

Will a channel manager change my OTA commission?

No. Commission is agreed between you and each OTA. A channel manager can help you win more direct bookings through your own booking page, which lowers the share of bookings that carry commission.

How long does setup take?

For a small property, mapping rooms and connecting the main OTAs can usually be done in a few days. Most of the time goes into checking that every room type and rate plan is matched correctly.
