Hotel software for small Indonesian hotels: what you need and what you can skip
Hotel software is sold as a long list of modules. For a property with 5 to 30 rooms in Indonesia, three parts do most of the work, and much of the rest can wait.

The three parts that matter
A property management system (PMS) is your front desk: the calendar of rooms, guest details, check-in and check-out, cleaning status and invoices. A channel manager connects that calendar to Booking.com, Agoda, Airbnb, Traveloka and Expedia so availability and prices stay the same everywhere. A booking engine is the booking page on your own website or Instagram link where guests book you directly.
Ideally these three are one system. When they are separate products, bookings have to be copied between them, and every copy is a chance for a mistake. For a small team that also handles breakfast, transfers and housekeeping, one login and one calendar is a big relief.

What you need from day one
- One calendar for all rooms and channels. You should see every booking, from every OTA and from WhatsApp, in the same view.
- Reliable sync with the OTAs you use. In Indonesia that usually means Booking.com, Agoda and Traveloka, plus Airbnb for villas and Expedia for some international guests.
- Overbooking alerts. A clear warning when two bookings land on the same room, before the guest arrives.
- Invoices in rupiah. Simple invoices that show room price, tax and service charge, and that you can send by email.
- Guest profiles. Name, contact, nationality and past stays, so you recognise returning guests.
- Cleaning status per room. Housekeeping marks a room clean, the front desk sees it can be given out.
What can usually wait
- Complex revenue management tools. A few clear pricing rules for seasons, occupancy and last-minute dates cover most of what a small hotel needs.
- A separate restaurant POS. If you only serve breakfast and a small menu, charging food to the room bill is often enough.
- Key card and door lock integration. Useful for larger hotels, rarely worth the cost and hardware below 30 rooms.
- Accounting inside the PMS. Your accountant will keep using their own tools. You need clean exports and reports, not a full ledger.
- Dozens of extra channels. Five well-managed OTAs and a direct booking page beat twenty channels you never check.
Local details that make a difference
Indonesian properties have a few needs that generic software often misses. Prices and invoices should be in rupiah with sensible rounding. Hotel tax and service charge should be shown clearly on invoices. Staff may prefer Bahasa Indonesia, while guests read English, German or Dutch, so a booking page in several languages helps. In Bali, Nyepi has to be closed on every channel at once.
Payment habits matter too. Many guests pay on arrival, others pay a deposit by bank transfer or card. A booking page that can take an optional deposit, for example through your own Stripe account, reduces no-shows without forcing every guest to prepay.
Sojodesk was built for this situation at a resort in Uluwatu, and shows amounts in rupiah on its Indonesian site. Whichever system you look at, ask for a test environment and try a normal day: a new booking, a room move, a check-in and an invoice.
Common questions
Is a spreadsheet enough for a small guesthouse?
With one channel and a handful of rooms, a spreadsheet can work. Once you sell on several OTAs, the risk of double bookings and the time spent copying bookings usually make proper software worth it.
Do I need a PMS if I already have a channel manager?
A channel manager alone keeps OTAs in sync but does not handle check-in, invoices or housekeeping. If those are on paper today, a combined PMS and channel manager saves the most time.
What should small hotel software cost?
It depends on rooms and features. Look for a clear monthly price with a room allowance rather than per-booking fees, and check what is an add-on and what is included.
